Appointment Guidelines for Departments

Term of Appointment

Appointment as a Faculty Fellow is for two years but the second year is contingent upon satisfactory progress. No extension beyond the second year is permitted.

Appointments are effective for the academic year, July 1 to June 30. The service period for the appointment is the beginning of Fall Quarter to the end of Spring Quarter.

However, if the doctoral or terminal degree (i.e., M.F.A.) is not completed by the beginning of the appointment (July 1), appointment as Associate In at 50% effective 10/1 will be given during the Fall Quarter grace period. The Fellow must complete all requirements for the degree by the beginning of Winter Quarter or the fellowship will be terminated. If the Fellow completes the degree by the beginning of Fall Quarter, the appointment will be changed to Lecturer/Faculty Fellow Reseacher retroactive to July 1. If the Fellow completes the degree during Fall Quarter, then the appointment as Associate In will be converted to Lecturer/Faculty Fellow Researcher effective beginning of Winter Quarter.

Title

The appointment is 100% with the combination of two titles - Faculty Fellow Researcher (Title Code 3237) and Lecturer (Title Code 1630). The percentage of the Lecturer appointment must be determined first and must be in compliance with the Instructional Workload Credit (IWC) formula for Lecturers. For example, for a 4-unit course that qualifies for first time teaching or large enrollment credit, the Lecturer appointment would be 50% and the balance of 50% as Faculty Fellow Researcher. Otherwise the appointment is 33% as Lecturer and 67% as Faculty Fellow Researcher. The appointment percentages may differ each quarter depending on the courses taught.

If the degree is not completed before Fall quarter, the initial appointment will be as Associate In (Title Code 1506) WITHOUT a Faculty Fellow Researcher appointment.

*Please note: If the individual is still in graduate student status, he/she will have to register for Fall quarter and pay fees.

Teaching Appointment Process

Once the award recipients are chosen, a preliminary email notice will be sent to them and to their faculty mentors and department chairs. An official offer letter will be sent to them soon after. If the individual accepts the award, the department needs to prepare a modified teaching support file. The file should include the following:

  • Temporary summary form
  • History page
  • Department chair's letter addressed to the department's divisional dean, referencing the Faculty Fellow award; noting the quarter, course number, course name, percentage of appointment as Lecturer or Associate In, and expected enrollment; and any justifications per standard teaching appointment requests.
  • If the appointment is as Associate In and an upperdivision course is proposed, a request for exception must be submitted to CEP.

The completed file should be submitted to the Academic Personnel Office for processing.

Once the file is approved, a letter from the divisional dean will be sent confirming the teaching portion of the appointment and advising on the requirements. Once this letter is received, the department may process the payroll and benefits forms, and enter the appropriate PPS action.

Teaching Assignment Guidelines

  • A Faculty Fellow is expected to teach 3 undergraduate courses per academic year, normally one course per quarter.
  • A Fellow may teach 1/2/0 combination schedule during the first or second year with justification, however, he/she must teach the Fall quarter of each year.
  • One or more of these courses may be in undergraduate interdisciplinary programs, but no more than two courses per academic year may be college writing courses.
  • It is encouraged that the Fellow be allowed to teach at least one course per academic year in his/her area of specialty.
  • If a Fellow is appointed as an Associate In Fall quarter, it is encouraged that the Fellow not be assigned a large enrollment, heavy workload course for the first quarter, unless he/she has taught the course before or has unusually strong teaching background.

Compensation

The annual payrate for Faculty Fellow Researcher/Lecturer for 2004-06 is $37,572 (10/03 scale). The titles are paid 9 over 12 basis. The salary rate is based on the Unit 18 scales issued by Office of the President. The salaries are subject to range adjustments, which normally occur on an annual basis. Appointees are not eligible for merit increases.

If the degree is not completed by the first day of Fall quarter, the initial appointment will be as Associate In (Title Code 1506) at an annual rate of $35,136 (10/03 scale) at 50% time WITHOUT a Faculty Fellow Researcher appointment. The individual must register, be within their support time limit, and cannot work more than half-time. The Fellow may not have any other appointments (i.e., GSRship).

During the summer, individuals can earn additional research compensation if funding is available from departmental or other sources. The appointee should be paid on a 1/9th basis as Faculty Fellow Research-1/9th (Title Code 3238). The individual may also teach for Summer Session. Total summer compensation cannot exceed the 2/9ths limit.

Benefits*

Faculty Fellows and dependents are eligible for health and welfare benefits. This includes participation in the University of California Retirement Program (UCRP); health, vision, and dental coverage; life insurance, employer paid disability, etc. Appointees will also be able to participate in the University's Defined Contribution Program. These titles do not accrue either vacation or sick leave. Please refer to the Academic Personnel Manual and the Memorandum of Understanding with the American Federation of Teachers for specific policies relating to leaves. The University provides administrative holidays as set forth annually in the University calendar.

Appointees are also eligible for all University privileges, such as library access, parking permits, access to the Recreational Sports facility, etc.

*As a Lecturer/Faculty Fellow Researcher at 100% time, BELI code is 1. However, if the appointment is as Associate In, the individual is not eligible for "career" benefits until completion of the degree requirements and change in status from graduate student.

Payroll Processing

The appointment will require two appointment lines - one for the Lecturer title and one for the Faculty Fellow Researcher title. Appointment as Associate In will require only one appointment line.

Departments should use their temporary teaching index number or equivalent, and they will be reimbursed at the end of each year.

End of the Year Report

Near the end of the first year, the Faculty Fellow and mentors are required to submit a progress report evaluating the first year's work. Renewal of the fellowship is contingent upon satisfactory performance and plans for the second year.
